Proposal Coordinator

Position Summary:
Agil3 Technology Solutions (A3T) is seeking a detail-oriented and proactive Proposal Coordinator to support the full lifecycle of proposal development for federal government contracting opportunities. The Proposal Coordinator plays a critical role in ensuring high-quality, compliant, and timely submissions by managing schedules, formatting proposal documents, coordinating with cross-functional teams, and assisting with the production and delivery of final proposals.


Key Responsibilities:
  • Coordinate all administrative aspects of proposal development, including document formatting, version control, compliance checks, and final production.
  • Maintain and monitor proposal schedules and calendars to ensure all deadlines are met.
  • Assist Proposal Managers and Capture Managers in assembling proposal teams and organizing proposal kickoff and color team reviews (Pink, Red, Gold).
  • Create and manage proposal outlines, compliance matrices, and content templates based on RFP requirements.
  • Collect, edit, and integrate input from subject matter experts (SMEs), subcontractors, and internal stakeholders.
  • Ensure proposals adhere to customer instructions, company standards, and branding guidelines.
  • Track and manage data calls, past performance inputs, resumes, and other proposal content.
  • Assist in maintaining the proposal content library and ensuring materials are current and compliant.
  • Coordinate proposal production, including submission via electronic portals or hardcopy if required.
  • Support post-submission activities such as final archiving, lessons learned sessions, and debrief preparations.
Required Qualifications:
  • Bachelor’s degree in English, Communications, Business, or a related field; or equivalent work experience.
  • 3+ years of experience in proposal coordination or development, preferably in a federal contracting environment.
  • Strong understanding of the federal RFP process, including FAR and DFARS requirements.
  • Exceptional attention to detail, organizational, and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), SharePoint, and Teams.
  • Ability to work independently and as part of a collaborative team under tight deadlines.
Preferred Qualifications:
  • Strong proficiency in Microsoft Office Suite, especially Word, Excel, PowerPoint, Teams, and SharePoint.
  • Experience managing proposals using shared document libraries and collaboration tools.
  • Familiarity with version control and document formatting best practices in a proposal environment.
  • Exposure to proposal development methodologies (e.g., Shipley) is a plus.
  • APMP certification or similar proposal training is desirable.
